General Description of Duties
The Operations Assistant supports the non-program operations of the DFAC. The Operations Assistant works in tandem with all other departments to support operations associated with Adult Education, Curatorial, Youth Education, Events, Gallery Shop and Visitor Services. The Operations Assistant is responsible for setting and maintaining a high level of facility cleanliness, for overseeing after-hours janitorial and for ensuring all after-hours events are set up/broken down and cleaned up and provides customer service to anyone visiting the building outside of DFAC’s regularly scheduled business hours. This position reports to the Facilities Manager.
The Operations Assistant will:
– Maintain building cleanliness. Coordinates with the Facilities Manager to make sure janitorial duties are being carried out to specification.
– Secondary point of contact for Dynafire, the DFAC’s security company.
– In tandem with the Facilities Manager, coordinate building maintenance and repair issues with City of Dunedin Public Services and Water Department. Especially when these activities take place outside of regular building hours of operation. Lawn and yard maintenance is done by Dunedin Parks and Recreation.
– Ensure cleanliness of Food Arts Studio. Work with Adult Education to manage Daily, Weekly and Monthly Kitchen Maintenance. Stock all needed cleaning supplies and dishwashing chemicals.
– Help set up, breakdown and clean up after all events sponsored by the Art Center: Garden Party, Wearable Art, Trashy Treasures, Gallery Openings etc.
– Assist with trash removal through City of Dunedin Solid Waste including dumpster issues and recycling bins.
– Assist with parking for events as needed.
– Assist with cleanliness and organization of storeroom and shed. Each Department has assigned space in the storeroom.
– Assist with getting students and instructors to their correct studio classrooms, after the building closes at 5 pm.
– Acts as a security presence after the DFAC closes to the general public.
– At the end of each shift, performs a walkaround of the building exterior to ensure all entrances/exits are secured for the evening.
– Assists with technology maintenance and updates when the work is required outside of regular building hours.
Areas of responsibility in cooperation with:
Curator -Works to support the Curatorial department to prepare galleries including wall repair, painting, moving of pedestals and hanging artwork, as needed.
Adult/Youth Education Directors-Schedules and works with Education Departments to ensure that equipment needs are met for classes and workshops
– Helps move tables and chairs, additional equipment as needed
– Using ladders, replaces high bulbs in studios as needed
Events Manager-Schedules and works with Events Staff to plan for equipment needs for events. Includes set-up and breakdown
Administrative Staff-Assists with special projects as directed. Examples include:
– Research and sourcing of equipment or services (examples, automated doors, sound deadening materials)
– Equipment inventory
– Inventory and box up documents for destruction or storage
Specials Requirements
High school diploma or GED, Bachelors Degree a plus, strong computer skills. Excel, Word, Access, Outlook required. Must have some basic computer hardware knowledge. Must have excellent time management skills, be able to work independently and possess the ability to coordinate tasks with multiple staff members.
This position require weeknight and weekend availability and the schedule will occasionally flex to accommodate the needs of the Center’s special events.
Must be able to easily lift 50 pounds, must be comfortable on tall ladders to replace bulbs and adjust lighting, must have basic equipment repair knowledge, must be able to patch and paint walls, must have basic knowledge of facility maintenance requirements and facility systems (plumbing, heating and cooling, etc.)
